# How much does a Business Brain cost to build and run?

## What a published Business Brain price actually buys

These offers were checked on 9-10 September 2026. They illustrate different scopes, not a ranking of equivalent products. Prices and availability can change; confirm the currency, taxes, billing term and final quote before purchasing.

The cheapest visible amount may belong to a different purchase. A repository can be useful when you have someone to install and operate it. A personal plan may suit one person's work. Neither should be priced as though it already includes a shared service, migration, support and tested permissions.

The reverse mistake is just as costly. A small team testing one approved document set does not automatically need the infrastructure of an enterprise data platform. Start with the required work, then use the Business Brain tools guide to identify what your existing software can cover.

## Put a boundary around your first Business Brain

A Business Brain supplier cannot give a meaningful fixed price for "connect everything and make it useful." Before asking for quotes, describe a result someone can accept or reject.

For example: five team members need to prepare internal handover notes from approved project documents. The output should identify current decisions, unresolved questions and supporting source links. It must not send messages or change project records. One manager owns corrections to the source material.

That is an illustrative scope, not a an internal implementation package. It gives the supplier something to inspect: the source formats, access differences, expected frequency and required output. Adding email history, client-facing responses or write access would change the work and should change the quote explicitly.

Ask for a small sample test before committing to a large migration. Include a normal question, an outdated document, two conflicting sources and a question the intended user must not be able to answer. Define what a useful refusal or escalation looks like. If the supplier cannot explain how those cases will be tested, the low setup fee tells you little about the delivered service.

## Build two Business Brain budgets: new spending and staff time

The cash budget answers what additional money will leave the business. The time budget answers what your existing team must stop doing to implement and operate the system. Both matter, but they are not interchangeable.

Below is a deliberately hypothetical first-year budget for a narrow Business Brain. Every input is an assumption for the example, not an observed customer result, typical market rate or offer from an internal implementation. It assumes 12 months of operation and excludes tax.

The example totals USD 3,780 in additional cash spending and 72 staff hours, valued at USD 2,880. Combined for planning, that is USD 6,660. It is not a USD 6,660 vendor invoice. If existing employees perform the work without overtime or replacement hiring, the allocated time is not automatically an additional payroll payment.

Keep the boundaries clear. The maintenance retainer in this example covers external technical work; the four internal hours cover source decisions and user help. If your supplier includes either job in the setup fee or retainer, remove the duplicate line. If the USD 90 allowance is only a guess, label it as one until the pilot produces a measured usage figure.

For existing subscriptions, record both their ongoing cost and whether the project creates an incremental charge. A license already required for other work is different from a new license bought solely for the Business Brain. It may still matter when deciding which systems the business must retain.

Add a contingency reserve for named uncertainties, such as an unsupported export format or a connector requiring custom work. Keep that reserve separate from forecast spending. Approval to hold money aside is not evidence that it will be spent.

Then repeat the Business Brain budget for year two. Setup may disappear, while introductory prices, update access or support terms may change. An annual commitment also changes when cash is due, even when a website displays a monthly equivalent.

## What must a Business Brain save to justify its cost?

Use the same assumptions on both sides of the decision. In the example above, the Business Brain's first-year planning cost is USD 6,660. At an allocated rate of USD 40 per hour, it would need to free 166.5 usable team hours across the year, or about 14 hours a month, to match that cost in staff capacity alone. That is a break-even illustration, not a predicted result.

Measure workflow time saved after checking and correcting the answers. Keep separate source-upkeep time in the operating budget; do not subtract those same hours again from the benefit. Ten hours saved a month would produce USD 4,800 of annual capacity value under these assumptions, below the planning cost. Twenty would produce USD 9,600, above it. Neither amount is automatically cash in the bank.

For a Business Brain to generate cash savings, something payable must change, such as avoidable overtime or external processing spend. Freed time can instead support more client work, but revenue depends on demand and delivery capacity. Record those possibilities separately, and do not count a saved hour both as a labor saving and as additional billable work. If the pilot cannot demonstrate a useful change against today's process, reduce the scope or defer the purchase.

## Measure Business Brain usage through a complete task

Model usage is another place where an attractive number can answer the wrong question. A chat subscription, a developer API and a third-party automation service can have different billing arrangements.

Anthropic distinguishes paid Claude plans from API and Console access. A subscription is not a general API allowance. The current Agent SDK notice, checked 10 September 2026, says subscription-authenticated SDK usage still draws from plan limits. The previously announced monthly credit is paused and unavailable, even though the older proposal remains below the notice. API-key usage remains separately billed. Check which route the proposed integration uses and whether its current terms permit your intended deployment.

For a bounded arithmetic example, Anthropic's published API pricing lists Sonnet 5 base input at USD 2 per million tokens and output at USD 10 per million, checked 10 September 2026. Four million base input tokens and half a million output tokens would therefore cost:

(4 × USD 2) + (0.5 × USD 10) = USD 13.

That is the token charge for those assumed quantities, not a monthly Business Brain estimate. It excludes caching price differences, tool fees, hosting, discounts, regional modifiers and tax. A useful task may require several model calls, tool results and retries, all of which need accounting.

Run a representative batch of Business Brain tasks and record total usage, failures and review time. Divide by the number of usable completed outputs, not merely the number of requests sent. A cheap response that needs extensive correction can be more expensive to use than a costlier response that passes the same checks.

Ask what happens at the Business Brain spending limit. Does the job stop, queue for later, request approval or continue with additional charges? Test that behavior before treating a budget alert as a hard cap.

## Price Business Brain maintenance as work someone will perform

"Maintenance included" is too vague for a Business Brain that depends on changing business information. A supplier may mean software fixes. You may expect them to update policies, investigate wrong answers and train new employees. Those are different responsibilities.

Request a short operating agreement covering source updates, connector failures, access changes, answer checks and user support. For each, name the owner, expected response and included effort. Separate fixing agreed functionality from adding a new source or workflow.

Consider a handover process that changes after launch. Someone must approve the new rule, replace or retire the old source, check that the assistant uses the change, and investigate any conflicting outputs. That work exists whether the system uses files, a managed platform or a custom database.

Self-hosting a Business Brain changes who performs the work; it does not eliminate it. Managed software can reduce technical administration, but a vendor still needs the business to decide which policy is current. Budget both sides of that relationship.

## Know what you can leave with

Before signing, establish who controls the source documents, configuration, accounts and any custom code. Ask whether the useful material can be exported in a form another supplier or your team can operate. A copy of the files does not by itself recreate paid connectors or hosted services.

Also define how access is removed and what happens to retained copies in chats, exports and generated reports. Do not assume disconnecting a source deletes everything derived from it. Sensitive information and contractual requirements may need a separate security or legal review; a low subscription price does not settle that question.

These exit details affect the Business Brain's cost even if you never switch. They determine whether you can reduce the scope, replace a component or keep a useful workflow when a supplier changes its terms.

## Get a Business Brain quote you can approve

Send each supplier the same source sample, user group, output requirements and test cases. Ask for the setup fee, first-year recurring charges, renewal basis, usage assumptions, support boundary and exit deliverables. Require a written change process for anything outside that scope.

For a narrowly defined build, a fixed fee may be useful. If discovery still has to establish whether the source system exposes the required data, agree a capped investigation first. Pretending that uncertainty is solved can produce a cheaper-looking quote and a more expensive change request later.

an internal implementation's Business Brain service starts with agreed business questions, sources, access and an initial workflow. The relevant next step is to define that scope, not invent a price from a generic AI-development range.

If the Business Brain pilot's outputs need more correction than the existing process, stop expansion and inspect the cause. If they are useful, the operating costs are visible and someone owns the upkeep, you have enough evidence to consider the next workflow. That is a more useful purchasing threshold than the lowest number on a pricing page.
